V127146 - Enhancements when using the Dashboard Screen

It is now possible to delete Competition Titles or Backlist Titles via the Dashboard screen. If a user has the correct rights, a delete button is available to use against each record.

V123158 - Enhanced Keyword functionality

The Keyword copy type has been updated so that it is now possible to order the Keywords using drag and drop functionality. This order carries through to all pages the Keywords appear on and, with a small amount of configuration, changes to the sequence of Keywords can be set to trigger an update to ONIX.

V126460 - Improved Filters for adding ISBN’s to a Group

A change has been made to the filters used to add ISBN’s to a group so that the Issue and Division filters will work in combination with each other. The ‘Issues’ filter will take the division into account when filtering, which enables editions to be added in the scenario where two editions have the same ISBN and Division.

V125535 - Improvement to Marketing Activity Screen

Orders by contact are now listed according to the date the Edition was added to the table. New Editions can be added via the Editions table or the Orders by Contact table. The Orders by Contact table will automatically create new Edition rows for each contact.


This update also enhances the Print Labels for Marketing Activity Report; a label will be printed for every record on the Orders by Contact table.

V100979 - Enhancements to the Titles tab of the Bibliographic Data Upload Template

Please note, this development is only applicable for customers using the Bibliographic Upload Template functionality.


A new column called 'Territory' has been added to the Titles tab of Bibliographic Data Upload template, which can be used to update the Territory field at Edition level. This column and the ‘Sales Territory’ column can be updated to any Territory that exists in the system.

V122222 - New feed available

Please note, this development is only applicable for North American customers.


A small titles feed from Biblio to the Acumen accounting system, developed originally for one customer only, is now enabled for all North American customers. The added functionality is optional and can be switched on via a Control Panel flag.

V122662 - New Imprint and Publisher-level distributor functionality

Please note, this development is only applicable for users with multiple Imprints or Publishers.


Users can now set Distributor at Imprint or Publisher-level, enabling Imprints to have different distributors to their parent publisher. Biblio will look for a Distributor set first at Imprint level, then Publisher level, before defaulting to the system default Distributor.

V126395 - Improvement when Saving from Group Details Screen

The Group Details Screen has been updated so Customers will be warned when trying to save a Group within a ‘Parent Group’ of the same name.

V120506 - New Exchange Rate Uploader

A new functionality has been made available to update the Exchange Rate via the Batch Uploader in Biblio. A new Exchange Rate Template has been created which will enable users to batch update the Table of Currency Exchange Rates in Maintenance.

V124980 - New ‘Delete Temporary Groups' process

A new nightly process to delete temporary groups has been created. Each time the process runs, any Groups where the Expiry Date contains a date up to (and including) the current date, will be removed from the system.


This enhancement is available for all customers as part of this release, however some configuration is required in the maintenance area to enable this process.

V117305 - New development to display Work Level Roles

A new feature has been added to display a wider scope of Roles on the Work General screen. Users will be able to configure each Work Level Role to display as a read-only field which is named after the Role description and populated with the Last name of the Person assigned to that Role.


This field will also be available as an additional column and filter ‘Concatenated Last Names’ on Edition and Work level reports. This feature requires some configuration to enable. Please raise a Tracker call quoting V117305 or speak to your customer contact to find out more.

ONIX


V123014 - Additional field for ONIX

A new field has been added to Biblio to allow the addition of an Announcement Date signalling when a new product will be announced to the public.


This enhancement is available for all customers as part of this release, however some configuration is required on the Control Panel. Enabling this will send the ’Announcement Date’ in the <AnnouncementDate> composite in ONIX 2.1 in place of the ‘Embargo Date’.

V128735 - Improvements to ONIX descriptions and characters

Please note these changes only apply to customers using the ONIX Ingestor NOT in conjunction with the “ReplaceExtendedASCII” set.


On the ONIX details screen, the ‘ONIX Short Description’ field character limit has been extended from 350 to 8,000 allowing for much longer descriptions.


Furthermore, the ONIX Ingestor has been improved to replace various characters with better alternatives. To view the precise list please raise a Tracker call, quoting V128735, or speak to your customer contact.


V117462 - Increased control of Review Information to ONIX

A new “Include Reviewer in ONIX?” tickbox has been created and made available for each Review entered and stored in Biblio.


When ticked, the reviewer will be included in the <TextAuthor> tag in ONIX for that review. When unticked, the <TextAuthor> tag will be excluded in ONIX for that review. This is ticked by default. Changes are reflected in the Maintenance Scheduler implementation of ONIX 2.1 and 3.0, and the ONIX Wizard.

V126966 - Improved customisation on P&L Sales Forecasting Summary Tables

Please note, this development is only applicable to customers using the Provisional Costing module.


The P&L Sales Forecasting Summary tables can now be customised to show the number of months in the First Printing, when showing First Printing per Edition. The P&L can also be made to use the Unit Cost from the First Printing for Year 1 in its calculations, and can now exclude or show the cost of Frees, allowing for even more exact P&L reports, depending on the user’s needs.

V123981 - Enhanced Process when deleting a new Impression

A change has been made to improve clarity when cancelling a new impression. Biblio will now display details of the associated Work or Edition so that users can make an informed decision before choosing the option of whether to cancel or delete.


Please note, this is only applicable to customers that have Biblio configured so that Works must have at least one Edition, and all Editions to have at least one Impression.

V123089 - Enhancements to Markup Calculation & KPI Targets

An improvement has been made to the way Biblio calculates Markup. Markup will now be calculated taking into account the total of all Unit Costs linked to a Unit Cost Type rather than only the Total Unit Cost. Users will be able to configure which Unit Cost Type is used for Markup calculations by selecting a default Unit Cost Type. It will now be possible for Markup to appear in additional areas of Biblio at Impression and Cost Group level via with some configuration via the users KPI Profile.


It will now be possible to show KPI Targets on the Profits screen, with the right configuration. Cost Template, Schedule Template and Print Quantity filters have been added to KPI Targets in Maintenance to further control what Impressions they are relevant to.

V125093 - Clarification of currently viewed Cost Group

The Header area for all Cost Group screens now has a Cost Group Reference so it is entirely clear which Cost Group is being viewed at any one time.

V125879 - Impression Pagination enhancements

Please note, this development only applies for customers who use Provisional Costings.


It is now possible to tailor options that allow Pagination information to be categorised in Biblio. This is controlled via a new screen in Maintenance called Pagination Type.


At Impression level the Pagination screen accommodates the new functionality. Under this development Pagination types are now mandatory for certain production types. Impression validation has been added to ensure mandatory Pagination is completed accordingly.


To support the development, a new Pagination screen has been added to Provisional Costings and a new Pagination column has been added to additional columns for Impression reports.

V125887 - New Lead Time and Reprint Lead Time fields

New fields ‘Lead Time’ and ‘Reprint Lead Time’ have been added to the Impression Schedule screen.

Multiple Reprint Lead Times can be specified in Maintenance, and applied to an Impression to enable better management and visibility of necessary lead times when it comes to printing schedules. These fields are reportable on Impression-related reports.

V126155 - Enhancement to Allow Cost of Gratis to be excluded from GM and GM% Calculation

It is now possible to configure P&L Layout Templates to not exclude the cost of Gratis from the Total Gross Margin calculation. Users will also be able to define whether a Unit Cost Type is used for a Cost of Gratis.

V126099 - New Process for Importing and Removing Scales

A new scale import process has been implemented so that Biblio can better accommodate importing large scale files without the need for a user to manually upload the scale file to Biblio. This can be run as an executable process and will run in the background.

V120749 - Pagination screen enhancements provide ease of use

In this development, a series of improvements have been made for users working on the Pagination screen at Impression level. The process of adding, updating and deleting records has been streamlined so that changes can be completed without the requirement to navigate to a new screen.

V126198 - Improved Formula for the P&L Editions Table calculation

Calculations for the Editions Table have been updated to give an accurate, comprehensive value of average. Average Discount calculations for each Edition will now be based on the Sales Revenue for all Sales Periods rather than just the First Printing.


For Customers who do not have the Provisional Costings module, the Average Discount and Backorder Release date columns have been removed from the Editions Table as they are incompatible with the current system configuration.

V124027 - New ‘Zero Costs when Print Qty is Zero?’ option for Cost screens

New functionality has been introduced to Biblio that enables users to choose whether Biblio calculates costs for Impressions and Provisional Costings when their Print Quantity is set to zero, when reporting costs.


This new functionality is available to all customers as part of this release, however some configuration is required in the Maintenance area to enable the new functionality.

V126216 - PI status default options introduced to better support your workflow

Biblio supports automatically creating a Print Instruction when an Impression is signed off. This development facilitates an improvement that implements a lookup containing different options for the Print Instruction Status. Previously, the Print Instruction was always created with a Status of Approved to Print. The following statuses are now also possible:

  • Approved to Print

  • Awaiting Approval

  • Ignore

  • Likely

This lookup is set to Likely on all existing Impression Stage records except for the Impression Stage of Final where it is set to Approved to Print.


The Impression Sign off process has been updated so that when “Auto Create PI?” is ticked, the newly created Print Instruction will have a PI Status that matches the one set on the new Auto create PI Status lookup for the Impression Stage the Impression is being signed off to.


The Batch Impression Group Sign off process has been updated so that when “Auto Create PI?” is ticked, any newly created Print Instructions will have a PI Status that matches the one set on the new Auto create PI Status lookup for the Impression Stage the Impressions are being signed off to.

V123769 - Batch Impression Purchase Order enhancements

Please note, this development only applies for customers using the Batch Impression Group functionality.


A development has been made to the Batch Impression Group functionality, enabling customers to raise a single Purchase Order for all Costs against a Supplier in a Batch Impression Group. Working in a similar fashion to the Group Impressions function, users can now raise a Group Purchase Order for all impressions in a Batch Impression Group.

V126354 - Updated Batch Impression Group / Apply Templates screen

Please note, this development is only applicable for customers using Batch Impression Groups.


The Apply Templates functionality for Batch Updates has been updated, so that the Templates available to apply are narrowed to those applicable to the Batch Impression Group’s Division. Where necessary, this can be overridden using the ‘List All’ option.

V120403 - New List of Tests Available in the Safety Certificate area

Please note, this development is only applicable for customers using the Advanced Safety Testing Module.


A new ‘Tests’ table has been added to the Safety Certificate screen. This allows users to specify all tests, as required on the Risk Assessments linked to the relevant impressions, that are covered by the safety certificate record. Users can record their validity period, the region the safety test applies to, and a description of the type of test certificate being recorded.

V120436 - Purchase Orders Enhanced to Send Impression Documents

Purchase orders have been enhanced so that publishers can now append documents that are stored against an impression in one click, streamlining the ordering process.

This new feature was designed for publishers who store safety certification and other documentation for impressions in Biblio and need to send these alongside the print purchase orders to their suppliers.

V123660 - Addition of a new report column, Cost Group Status, to the Impression Entity in the Reports module

A new report column, Cost Group Status, has been added to the Reports module. This will appear to add as a column or filter wherever Impression-related fields are available to add, and will report the Cost Group Status of Cost Groups the Impression belongs to.

Contracts and Rights


V129390 - Rights for In House Projects

This optional development allows for the creation of In-House Projects in the system. By this, we mean titles that are originated by the publisher in-house, meaning that there are no author/contributor royalties to be paid out. This allows rights to be sold without a Head Contract for these projects, though Head Contracts are also possible to cover flat fee agreements.


This development is available to all publishers that use the Rights module but has not been enabled by default.

V119951 - New Division Check when applying Subright Set Templates

It is currently possible to apply multiple Subright Sets to a Head Contract. A new division check has been added to this process to ensure that only Subright Set Templates which share a division with the Head Contract, or have no division will be returned. If the Head Contract does not have a division, then all Subright Set Templates will be returned.

V121429 - Additional reportable Notes field available on Payments screen

Please note, this development is only applicable for Subrights Payments Customers using Subrights Sold, Rights Invoicing and Biblio Royalties.


A new free-text field titled, "Notes" has been added to the Payments screen in the Subrights module for Rights Users. To facilitate this new "Notes" field, a cosmetic change has been made to re-order the other free-text fields.

V121279 - Gross Margin Development

A change has been made so that Gross Margin can now cater for Subrights Sold that do not have Rights Instructions. Users will now be able to see a breakdown of Income and Cost, based on individual Payments linked to the current Subrights Sold.

V120854 - New Head Contract Report

A New Report called "Advances/Payments for an Edition" will be added to Reports / Head Contracts. This is based on the Advances/Payments report, however it will report one line per Advance Edition Split.

V120854 - New Information Field on Manuscript Screen

Please note this is a version of the above note but for customers without the Contracts Module.


A new read only field labelled "Last Updated By" will be added to the Works / Manuscript screen. An edit to any of the fields on this screen will automatically record the user in the "Last Updated By" field. This will happen regardless of whether the update happened in this screen.


The new field will be reportable through the additional columns on reports with the Work entity available, labelled "Manuscript Details Last Updated By".

V123708 New "Next" Functionality to Rights Instructions Payment Details

Please note, this development is only applicable for customers using Rights Instructions.


A new "Next" button has been created to aid users navigating through the Payments of a Rights Instruction.


The "Next" button will appear at the bottom of the Payment Details screen if there is more than one Payment linked to the current Rights Instruction. If the user is editing the Payment, a ‘Save & Next’ button will appear, which will load the next Payment record after saving the Payment currently being edited.

V124050 - Archived status information now visible on Head Contracts List

A new column has been added to the list of Head Contracts which shows whether the Contracted Party/Payee relevant to the Contact/Payee being viewed has been archived in the Head Contract.

Royalties


V128168 - New ‘Processing Status’ filter on the Sales Files list screen

Please note, this development is only applicable for customers using the Royalties module.


A new multi-select search filter called ‘Processing Status’ has been added to the Search Sales Files area. Users can use the filter to search for sales files by processing status. The Sales Files list will now display up to 150 files, and if there are more than that in the system, a message will be displayed to let users know that this is not a complete list.

V125279 - Language Consistency

To maintain consistency within Biblio, “Region” has replaced the previous term “Brick Code”. This will only be relevant for customers using the Royalties module.

V125269 - Updated Logic on Income Receipt Posting Warning Messages

Please note, this development is only applicable for customers using the Royalties module.


When approving a Contract, a check is run to look for Receipt Posting Batches that are linked to the Head Contract and pending posting. ‘The following Subright Receipt Posting Batches are unposted’ is an informational message, with no effect on functionality, that has been updated to not appear in cases where the Publisher has 100% of the payment allocation and the Payee Splits are cleared, or the Batch was approved prior to mid-2015 and contained a Payment with a Transaction Type of ‘Override Contributor Share to 0%?’.

DAM


V125481 - Improvement to label names on Asset/Files tab

The 'Last Modified' and 'Last Modified By' labels on the Assets By Category/Asset/Files tab have been updated to 'Last Updated' and 'Last Updated By'.


This is to clarify that these values reference the 'updated by' and 'updated date' on the Asset File record rather than the 'modified' date on the physical file.

V126110 - Improved naming convention for the DAM basket

In DAM, the 'Download these items' menu item on the Main Menu/Basket screen has been updated to 'Download all items'.


The 'Invite someone to download these items' menu item on the DAM Main Menu/Basket screen has been updated to 'Invite someone to download all items'.


These improvements have been made to clarify that selecting these options will allow the user or invite recipient to download all of the items displayed in the Basket.

V125790 - Favourite Reports

A new feature has been introduced to Biblio which allows users to save new Report Profiles or mark existing Report Profiles as “Favourite”. All Report Profiles listed as “Favourite” will then be available to the user directly from the Biblio’s Main Menu for easier access.


This very useful tool was designed to save users time when looking for specific Reports and was made available to all customers as part of this release.

V126604 - Two new Impression report columns

Please note, this development is only applicable for customers using Provisional Costings.


Two new report columns have been added to the any report where Impression-related fields are available to add.


The first, ‘Provisional Costings has been converted?’, will return a Yes or No in the column based on whether the record is a Provisional Costing that has been converted into an Impression.


The second, ‘Current Impressions or Provisional Costings?’, will return a Yes if the Record is either a Provisional Costing or an Impression at the current stage, and otherwise a No.

V120451 - Enhancements to Customers area of Biblio

A new Roles screen has been added in the Customers area of Biblio. This gives users the ability to save roles against a Contact’s Customer Account. This will behave in the same way as other Roles screens in Biblio. With the right security permissions, users will be able to add or edit Roles, providing the contact being added is linked to at least one division which is the same as the customers division.


Please note, this only applies to customers who have the Customer module in Biblio.


For some customers using Delivery Splits, it will also be possible to set up default customer records to be displayed in a customer lookup for Biblio users. For more information on this functionality please raise a Tracker call or speak with your customer contact.

V120089 - New ‘Sales Data Filename Format’ screen

Please note, this development is only applicable for customers using the Business Intelligence module.


A new screen has been added to the maintenance area called ‘Sales Data Filename Format’. This will allow users to define new Sales Data Filename formats that can be ingested by Biblio, according to their regex and the index integer for Customer Name, Year, Month and Day.


Upon saving the screen, the field ‘Filename Regex’ is checked to ensure the regex is valid.
