General Release News


V129509 - Biblio Third party Javascript Libraries update

Biblio has been updated to use the latest version of two third party libraries, JQuery (including JQuery UI) and Prototype.


After this change, the only version of IE supported will be IE11, and it should no longer be used in Compatibility Mode. Please note this is the only version of IE that still has full support from Microsoft.


To remove a site from the Compatibility View list:

  • Click the Tools button, and then click Compatibility View settings.

  • Under 'Websites you've added to Compatibility View', select the URL of the site you want to remove from the list (www.biblioLIVE.com, www.bibliostaging.com, etc.), and then click Remove.

Works and Editions


V123558 - New Group Level Dashboard

A new Group-level Dashboard screen has been introduced allowing users to create custom screens with a volume of Group-level information that was not possible previously.


As part of this development, Virtusales has greatly expanded the flexibility of the Group-level functionality. Customised Copy Types and Attributes can now be stored against Groups in addition to Editions. It is also possible to synchronise both Customised Copy Types and Attribute values from the Group level to the Edition level.


A new report has been added to the Groups \ Report section called Group Batch Dashboard. This works in a similar fashion to the Batch Group Dashboard report except it is limited to group dashboards and only runs for the current group.

V129572 - New column on Add Keywords screens

A new functionality has been added to improve the process of applying Keywords to multiple Editions. This will help users to identify Editions within the same Work that may need the same Keyword added to them.

Projects


V125780 - Enhancement to navigation within Projects

Please note, this change is only applicable to customers with Project functionality enabled.


BiblioLIVE can be configured to allow navigation directly from project level to the work dashboard (if configured). This will not be enabled by default and will require configuration in Maintenance.


Some improvements have been made to the navigation of works within a project so it is possible to step through works on a project similarly to editions in a group.

An enhancement has also been made to allow for the removal of all works from a project via a single button on the Project Works screen.

ONIX


V121905 - Open Access: Needs TextLink or EpubLicense composite

New functionality is being introduced to Biblio to allow support for the storing and ONIX output of Open Access-related metadata.


As part of this development, new Maintenance screens and options are being introduced to allow the publisher to specify product types for allowing Open Access and also includes new Maintenance screens to allow defining Epub license type details and Funder type information.


When a work and edition is flagged as “Open Access,” new screens and features are permitted on the Biblio front-end, such as the Edition Pricing screen which allows the end user to specify the edition as “Available as Open Access.”


A new Work \ Funder screen is also introduced so the publisher can specify a contact as funder and associate with the funder type.


A new Edition \ Open Access Details screen is also being introduced to support specification of the Epub license type as well as Open Access notes. These two fields are available in all Edition and Impression level reporting and supported on Edition Dashboard.


Funder and Epub license details and OA statements can be outputted in ONIX 2.1 and 3.0.

V129408 - Enhancements to ONIX Schedules

An improvement has been made to ONIX schedules which gives the option to include only assets that have been updated since the schedule last ran.


For customers who are including website links in ONIX, these can now be specified as mandatory per ONIX recipient.

V129427 - Enhancement to ONIX Ingestor

Please note, this change is applicable only to customers with the ONIX Ingestor.


An improvement has been made to the ONIX ingestor to allow the 'Author on Cover' field to be used to match titles alongside the Cover Title field. This is configurable via a new tick box on the ONIX Ingestor screen called 'Match on Author'.

V122156 - Deleting Series Data in ONIX

Please note, this change is applicable only to customers with the ONIX Ingestor.


A new option to exclude Series Information from the ONIX Ingestor has been added to Biblio in the form of a new flag named ‘Allow Series Membership to be removed?’


As it was not previously possible to remove the Series information from the ONIX ingestor, this new flag has been added below the ‘Do Not Create New Series?’ flag.

The flag is unticked by default, meaning existing functionality will not be affected.

Production


V130809 - Enhanced Impression Finance Types

The Impression Finance Types area of Biblio has been enhanced to allow better flexibility when working in this area.


A new Screen, Finance Types Groups has been added in Maintenance where a previous text field with limitations has been replaced by a new lookup entitled, “Impression Finance Types Group". All areas in Biblio that were previously using the old text field have been updated to use the new lookup enabling a broader baseline of information.

V127242 - Increased functionality on Provisional Costing Co-prints

We have introduced new functionality which enables users to manually link or unlink a Provisional Costing as a Coprinting.


As part of this development, several additional navigation changes have been defined to facilitate the new process. The option to link is set on the Impression General screen where when in view mode a table will appear listing all Co-printing Provisional Costings with interactive columns and information.

V116657 - User Interface Improvements to the Specification Extra screens

Previously, the Specification screens in the Production module often contained long lists of optional specification extras, making it difficult to find relevant information.


These screens have been optimised with the option to hide any items which are not ticked from their section using the new 'Show Ticked Only' and 'Show All' buttons.


Virtusales have also added the ability to collapse and expand any section as well as buttons to 'Collapse All' and 'Expand All'. When collapsed each section displays a message that says how many of the items in that section are ticked.

V127846 - Improved Labelling on P&L Sales Forecasting Summary Tables

Please note, this development is only applicable to customers using the Provisional Costings module.


The label above the Edition Specific Sales Forecasting Summary tables has been updated to include the Product Type/Binding description added to the end. This has been implemented to make differentiating between products with the same title that do not yet have an ISBN assigned easier.

V120578 - New screen added to enhance costing functionalities

These screens are only available for customers with the following functionalities: Print Instructions, Rights Instructions, Provisional Costings.


A new screen has been added to the Production Module which will allow users to quickly assess how Impression costs are impacted by changes to its specifications. Users will be able to create bespoke templates to suit their individual requirements when using this screen.

V127271 - Notes field added to Supplier General

A new copy field labelled "Notes" has been added to the Suppliers screen in Maintenance to allow additional information about the Supplier to be captured and edited here.


The information added to this field is reportable on all reports that reference the "Supplier" entity specifically (such as Suppliers, Supplier Load and Cost Templates) by adding the Supplier / Supplier Copy / Notes additional column or additional filter.


Note: The new copy field is NOT available by clicking on the Impression / Impression Copy / Supplier Notes.

V88493 - A Recent Purchase Order panel has been added to the Main Menu

This has been developed so that users can quickly access recently viewed Purchase Order records in the same way as other recent panels (such as Impression or Work). Purchase Orders can be searched for by Purchase Order number, Edition EAN/Main Identifier or Work reference. Unlike other recent panels the "Search" button is not present as the "?" quick lookup search should be sufficient.

V124411 - New KPI Target Type ‘Unearned % of Total Advance’

Please note, this development only applies to customers using the Cost Groups module.


A new KPI Target Type has been added for use in the P&L report. ‘Unearned % of Total Advance’ is an optional additional row in the P&L report which shows users the Unearned value as a percentage of the Total Advance value.

V120502 - New Interface from Biblio to Book Chain

A new outbound interface has been developed for use with Biblio to communicate Purchase Order information from Biblio to Book Chain. This interface communicates directly with Book Chain to facilitate creating, updating and removing purchase order details.

V124336 - Changes to Purchase Orders Date Fields

Changes have been made to the date fields which can appear on Purchase Orders to allow users to choose between displaying a delivery date, ex works date, or both.


A new date field called 'Ex Works Date' has been added, along with a tickbox to control whether this is mandatory or not, called 'Show Ex Works Date?'.

A new tick box called 'Show Delivery Date?' has also been added which controls whether the Delivery Date field is mandatory.

The existing field 'Date is Ex-Works' has been removed as this is no longer required.

A data update has been run to update existing PO's to use these new flags based on their current configuration.

V130282 - Additional check on changing imprints

Note that this change only applies to customers with multiple divisions.


An additional validation has been enabled when changing the imprint of an edition, to ensure that suppliers present on an impression are valid for the new imprint's division.


Note that if a supplier has no division assigned, they are considered valid for all divisions.

V123653 - New options when viewing Pagination listings

It is now possible to choose line breaks to show in a Pagination record’s Description and Source field on the Pagination screen at Impression level. Line breaks are usually indicated with a white space which is the default option, but can be changed to switch to the new view method if required.


This is available for all customers using Pagination, but does require a small amount of configuration to enable.

V129117 - Price (Ex VAT) calculation

The Price (Ex VAT) field on the Impression \ Specification screen has been updated to use the VAT Information supplied on the Edition \ Pricing screen. Previously, the VAT calculation would always use a predefined VAT Rate which was not always applicable to the current Impression.


Additionally, if no valid VAT information has been supplied on the Edition \ Pricing screen, a warning icon will be displayed next to the Price (Ex VAT) field, informing the user of this. While the warning icon is displayed, the VAT Rate will be treated as 0% and the Price will be copied into the Price (Ex VAT) field.


This new functionality is available to everybody but is controlled by a Control Panel flag and will require a small configuration to switch on. Please raise a Tracker Call quoting V129117 or speak to your customer contact if you would like to enable or obtain further information.


V130453 - Production Uploader For Specification Extras

The existing Production uploader in the Main Menu \ Batch Upload area of the Biblio3 system has been modified to include a new Specification Extras capability.


This new functionality is available to those using the Production Uploader.

V129183 - New Impression Priority Drop Down

A new concept has been introduced at the Impression level of Biblio named 'Priorities'.


This new dropdown field allows users to allocate different priority levels to impressions, which can then be used to filter reports.

A new Impression Priority screen has been added to Maintenance so the User can add/ edit the Priority Drop Down with the following fields.

  • Description (free field)

  • Divisions (multi-select dropdown)

V126390 - Added option to authorise purchase orders automatically when approved

A change has been introduced to allow users to automatically authorise Purchase Orders once approved.


Further configuration is required to the system, however, once enabled, the workflow status of ALL Purchase Orders will automatically be set to Authorised when a user approves a Purchase Order in the Impression module.


This functionality has also been extended to the Cost Groups Batch Update functionality so that when purchase orders are batch approved from this screen, then all the Purchase Orders will first be changed to Approved and then automatically to Authorised.

V129835 - P&L Reports have been enhanced

Please note, this change is only applicable to customers with the Provisional Costing Module.


The format of P&L Reports has been improved to provide clearer information for users. P&L Report functionality has also been enhanced and users can now split specific tables within the report. These tables can now also be configured to suit individual requirements.

V123115 - Additional Information in Head Contract Summary screens

Note: Only applicable for customers with the Head Contracts module.


The following screens currently show a "Details" section at the top of the screen, which displays general information about the current Head Contract:

This allows the user to easily see the details of the Head Contract without having to navigate to the Contracts \ Head Contract \ General screen where the flags for these fields are found.


NOTE : Existing data has not been affected.

V130211 - New Pay Method tickbox "SEPA?"

Please note this is only for Customers using the Head Contract module.


A new tick box called “SEPA?” has been added to the Pay Methods area. This allows users to report on this particular pay method. It does not have any other associated functionality. Some users may need this to be configured by Virtusales before the tick box can be displayed.

V129322 - Company Name can now be added for multiple submissions

This development is only applicable to customers with the Rights module.

V131069 - New Reinstate Button

This development is only applicable to customers with the Rights module.


A new ‘Reinstate Button’ has been added to the Rights Instruction/ RI Detail to allow users to reinstate Rights Instructions once they have been abandoned.


This button will appear once the RI is denoted in the ‘Abandoned?’ - clicking the ‘Reinstate’ button will flag the Rights Instruction not ‘Abandoned?’

Royalties


V125471 - Royalty Statement Pack - Hiding Cover Letters & Explanatory Notes

Within Royalty Statement packs a Cover Letter and a set of Explanatory Notes is usually produced, alongside Remittance Advice, Summary/Invoice, Royalty Statement and Subsidiary Rights Statement pages.


Now a new functionality is in place which will allow Cover Letters and Explanatory notes to be hidden in Royalty Runs, so when Royalty Statement packs are produced these two elements can be included or removed by choice.

V125279 - Improvements to the Period Run Date Screen

The Royalty Period Run-Date Screen was previously ordered to display the oldest period first, which required the user to scroll to reach the newest date. An enhancement has been made so that this screen will now show the latest period first, and five years of financial periods ahead, with one year of history.

V126176 - Stop Payments Statement Pack

Previously, The printable files produced by full royalty runs did not include statements flagged as suppressed and statements for Payees Accounts/Contracted Parties flagged as Stop Payments (Stop Payments statements). To access these, users had to go to the Statements screens in the Contacts or Contracts modules to download individual Stop Payments statements.


To improve efficiency, a new statement pack will be produced by the full royalty run called "Stop Payments Statements". This pack will be available alongside any other full royalty run statement packs and will include all statements for Payee Accounts and Contracted Parties flagged as Stop Payment that are not suppressed.

V126205 - New functionality for considering positive balances carried forward

Existing functionality requiring some configuration allows users to define a certain number of periods for which no-activity statements are produced before the statements are suppressed from the Biblio Royalties system.


Once enabled, the statement pack will only be suppressed and moved from the “Printables Files” PDFs to the “Suppressed Statements” PDFs produced by the Royalty Run after the specified number of periods of no activity.


Currently, however, if a Contributor / ISBN combination has a payable amount below the minimum payment threshold, Biblio will continue carrying the positive balance forward, interpreting this as “activity”, this existing logic is then preventing the statements for that Contributor / ISBN combination from ever being suppressed.


An enhancement has been introduced to allow users better control of what is or is not considered “activity”, allowing them to specify whether positive balances carried forward should be considered as “activity” for statement suppression or ignored.


Further enhancements to the Royalties Overview screens at Works and Contracts level have also been made as part of this development.


Currently, the value in the “Life to Date Unearned Balance” field on these screens is always either negative or zero, even when there is a positive unearned balance.


Users will now be able to specify whether positive life to date unearned balances should display as zero in the Overview screens or as a positive value (if there is a positive unearned balance).

Reports


V115792 - Updated Edition and Work-level Notes column titles

To aid users in identifying at which level the reported Notes are stored, the Edition Notes copy and Work Notes copy are now reported under the column titles ‘Edition Copy (Clean): Notes’, and ‘Work Copy (Clean): Notes’.

V127570 - Impression Spec Extras Report and Impression Schedule Dates Report

Two new Production Reports have been added to the Reports Module.


The ‘Impression Spec Extras’ Report allows the user to report on Impression Spec Extras. The ‘Schedule Dates’ Report allows the user to report on Impression Schedule Dates.


Enabling these reports will require configuration of user security rights.

V126621 - Report ‘Search’ functionality

A new ‘Search’ box has been added to the top of the Reports/Additional Column and Reports/Additional Filters Screen allowing users to search using text to easily find and add Report parameters.


This is also available on the ‘Additional Parameters’ screen for those Columns and Filters.


The Reports module will respond as a search engine and open all sections which may match the typed content. This will allow users to add and find the desired filters/columns on their reports in a timely and user friendly manner.

V124557 - Report filenames now customisable

This optional feature will allow users to customise their own file names for XSL and XML reports, allowing more flexibility and freedom in the process of working with reports.

V129205 - Re-naming 'Copy (Clean): Notes' report column name

Notes which contain no formatting tags within the text are described as Copy (Clean). Previously when reporting on Notes in an Edition level report there was no distinction between these clean Edition Notes, and clean Work Notes - they were both displayed as Copy (Clean): Notes. This has now been updated so that the report columns are shown as "Edition Copy (Clean): Notes" and "Work Copy (Clean): Notes"
