V130247 - Add A Cost Group Search Field To The Edition Advanced Search

When selecting the Search button from any Edition level screen (as well as on the Groups \ Management \ Add Editions screen) a new lookup called ‘Cost Group’ has been made available. The Cost Group lookup displays the standard Cost Group quick search and only one Cost Group can be selected for each search. When the Cost Group lookup is used, only editions that are part of that cost group will be returned in the search.

This field is only used where contact type is person or pseudonym. In other cases the value from this column will be disregarded.

ONIX

V137027 - Part Number to apply to Series in ONIX 3.0

A change has been made to the ONIX 3.0 output, seen in both the ONIX Schedules and the ONIX Wizard.

Where a sequence number is included as a CollectionSequenceNumber element, within the CollectionSequence composite, it will now also be included as a TitleElement > PartNumber element within the TitleDetail composite, which is contained within the same Collection composite. This does not affect the existing functionality regarding PartNumber elements in groups, with the 'Can Contribute to Title?' flag set on the Group Type maintenance screen. The new functionality is specifically for other group types which feed out a sequence number, e.g. Series.

If you have any questions about this functionality please raise a Tracker call quoting V137027 or speak to your customer contact.

V136945 - ONIX Ingestor option to enable 'Include Reviewer in ONIX?' flag

Please note, this change is only applicable to customers with the ONIX Ingestor.

New functionality has been added to enable reviews ingested via the ONIX Ingestor to have their 'Include Reviewer in ONIX?' flag set. This will allow users to set Reviewers to be included in ONIX. When enabled, reviews ingested by the Ingestor will have the corresponding 'Include Reviewer in ONIX?' flag ticked.

If you have any questions about this functionality, please raise a Tracker call, quoting V136945 or speak to your customer contact.

V123242 - ONIX: Website Links Changes

New functionality has been added to allow websites to be configured at the recipient level to feed out in ONIX. Users will be able to determine whether website links are included in an ONIX feed, depending on the entity associated with the website link.

For example, if the ‘Contact’ entity is selected, this will mean that contact level website links of this type feed out in ONIX. If no entity is specified, all Entities will be fed out in ONIX for that website link type.

It will also be possible to specify whether the website links are included in the Product or Supplier composite in the ONIX feeds. This by default will be set to Product for all Recipients.

This will be reflected in ONIX 3, ONIX 2.1, ONIX Reports, and the ONIX Wizard. The Bibliographic Uploader has also been updated to reflect these changes.

If you have any questions about this functionality, please raise a Tracker call, quoting V123242 or speak to your customer contact.

Production

V131049 - Component PO Authorisation

Please note this functionality is only applicable to customers using Component Management and PO Authorisation Processes.

A new functionality has been created to extend the existing Authorisation Levels used for the Impression Purchase Order, to now also be used for the Component Purchase Orders. This will allow Component PO’s to go through a similar approval process as its Impression counterparts.

A new Component Authorisation Limits Screen has been added to the Inventory area of Maintenance, where users can define the authorisation limits or the Component PO’s - this screen will function similarly to the Authorisation Limits Screen.

An ‘Authorisation Limits table’ will also appear below the details area allowing users to add additional authorisation limits to the default Component Authorisation set.

New Security permissions have been added so these can be assigned to users who can approve Component Purchase Orders based on value.

Finally, the following changes have been made to the Component Management/Purchase Order screen:

  • A new column called Total Price has been added after Unit Price Column

  • A new row has been added to the bottom of the table to show Purchase Order Total.

A new link has been added to the Left Menu (only displayed when using the Edition \ Provisional Costing \ View Advanced Costing functionality or when viewing a Provisional Costing from a Cost Group) for Provisional Costings called Cost Groups. Clicking on this link takes the user through to the Cost Group Listing screen which will display all Cost Groups that the Provisional Costing is part of.

A second link has been added to the Left Menu (only displayed when using the Edition \ Provisional Costing \ View Advanced Costing functionality or when viewing a Provisional Costing from a Cost Group) for Provisional Costings. V134697 - Shared Earnings enhancements for Sales Forecasting

Please note, this development is only applicable for customers with provisional costings.

The shared earnings calculation currently available for impressions has been extended to Biblio’s sales forecasting functionality. An edition or product’s advance can now be shared with other editions and products in a work, and additionally calculated for multiple sales forecast years. This enables users to run a P&L which estimates the unearned advance for a whole work or cost group over a period of sales years.

For help configuring this new calculation on your P&L, or for more information about the sales forecasting features available in Biblio, please raise a Tracker call quoting V134697, or speak to your customer contact.

V115814 - Changes to Biblio Data Services Feed for Purchase Orders

Please note this call is only applicable for customers who use the Biblio Data Services feed to send purchase orders to suppliers via XML, and who send out the offset reduction percentage value.

An update has been made to the XML message which changes the way the offset reduction percentage field is sent. On reprint impressions, the offset reduction percentage will now be included in the PO XML message if the purchase order is for a new supplier, even if the value is the same as the previous order. This is to better support publishers who locally print titles with multiple suppliers and need to request the same offset reduction with all printers.

If you would like more information about this change, or for help including the offset reduction percentage value in your PO Feed, please raise a Tracker call, quoting V115814 or speak to your customer contact.

V136268 - New ability to prevent Delivery Details being created against Pack Components

Please note, this only applies to customers using Print Instructions.

This optional development allows customers to alter Biblio’s existing functionality so that, if enabled, a Delivery Detail record will not automatically be created when a Pack Header’s Print Instruction is allocated to a Pack Component Impression.

This functionality is available to all customers using Print Instructions, but requires configuration. If you have any questions about this functionality or would like to enable it, please raise a Tracker call quoting V136268, or speak to your customer contact.

V128257 - Improved Specification appearance on Purchase Orders

Please note, this development only applies to customers using the Purchase Orders functionality.

When a Purchase Order Type has ‘Show each Specification Item on a new line?’ enabled, any Spec Extras associated with the Preparation & Text, Binding, Cover, Jacket or PLC categories will now be displayed in a separate row within the appropriate category.

If you have any questions about this functionality, please raise a Tracker call quoting V128257, or speak to your customer contact.

V130518 - Suppliers can now be created from Contact records

A change has been made to the Biblio system so that Supplier records can now be created directly from Contact records. The Supplier will be synchronised with the contact to ensure that all contact details match those of the Contact record fields on the Supplier will be kept in sync to ensure they match those of the selected Contact.

This functionality is available to all customers, but may require configuration. If you have any questions about this functionality or would like to enable it, please raise a Tracker call quoting V130518, or speak to your customer contact.

Please note, this change is only applicable to customers using the Royalties Module and Head Contracts.

A validation message will now be presented to the user if the Work/Edition Royalties Link is not meeting the correct criteria.

If you have any further queries regarding this functionality or would like a report of contracts which have invalid Royalties Links, please raise a Tracker call, quoting V137932 or speak to your customer contact.

V134630 Royalties reporting after a period is closed

Please note, this only applies to customers with the Royalties module.

The ExRoyalty, SalesSales, ReconciliationPack and Summary reports previously relied on underlying summary functions to report on all current period data, and were less useful after a period close. The Period Finalise process has been improved to ensure these reports will continue to be of use as soon as the first royalty run after the period closure is completed.

If you have any questions about this change, please raise a Tracker call quoting V134630, or speak to your customer contact.

V130537 - Joint accounting Royalties across Contracts

New functionality is now optionally available in the system which gives users the ability to joint account Royalties across Contracts for the same contributor and beneficiary payee.

A new screen has be created at Contracts \ Royalties \ Joint Accounting, which allows users to define Joint Accounting options per Contracted Payee and Contracted Work/Edition.

The Contracted Payees will be listed at the top of the screen, against each Payee pair it will be possible to define a "Joint Accounting Option". This will be a drop down containing the options "By Contributor" and "Within Head Contract". If any payees have "Within Head Contract" selected, a section containing the Contracted Works and Editions will be displayed.

This will be in the same format as the current Contracts / Royalties / Edition Links screen, however without the "Combined Sales" column. New validation checks have been added to the Head Contract approval process to account for this.

Parts of the system such as the royalty and payment runs that use the main statement edition to do an unearned balance or payment calculation have been amended to use the new Joint Accounting settings defined.

The Head Contract reference will no longer show in the document header on the Summary / Invoice pages. Instead the Head Contract Reference will show as a sub-header above the ISBN living in the section.

If you are interested in the complete set of changes including examples, please speak to your customer contact quoting V130537.

V129577 - New Message on Reports with Row Limitations

A small number of reports in Biblio limit the maximum amount of results that will be displayed, in order to protect the system’s performance. In order to better inform users, a new message has been created which will be displayed when any of these reports are run and the maximum number of results are exceeded.
